WHO WE ARE LOOKING FOR:
Someone to provide administrative support to the Office Manager, sales and occasionally marketing dept. Assist in accounts upkeep, keeping accurate databases and sales ledgers, as well as day-to-day administrative tasks. To answer calls into switchboard and general reception duties. Be part of the front facing team of CloserStill.
About you: You will be a team player and someone who wants to get to know every area of the busi-ness. You will be organised and able to multi task at a high speed level. You will want to learn every aspect of the events business and bring energy and innovation to this role.
THE ROLE:
You will be trained in any areas needed. You will be encouraged to develop on a daily basis. You will be given all the tools needed to make you a success.
Main Duties:
- Control incoming/outgoing mail
- Answering the switchboard
- Greet and provide general support to visitors
- To become fully conversant with our CRM system – act as a ‘help desk’ for users
- Checking and approve opportunities in Salesforce
- To be the point of contact between accounts, sales and data departments
- To build and maintain strong relationships with colleagues
- Arrange onsite rebook process and coordinate rebook packs
- To assist in managing the Sales office onsite - reporting all sales accurately and efficiently
- To send confirmation letters to clients weekly confirming their exhibitor details
- Ensuring figures balance between our CRM system and the company reports
- Order and distribute stationery & supplies to all departments
- Assisting with office facilities duties
- Managing office calendars
- Ad-hoc tasks
Skills Required:
- Excellent IT skills (Excel/Word/Outlook)
- Strong numerical skills
- Salesforce knowledge (helpful but not essential)
- Trustworthy with attention to detail
- Team player
- Patient and calm under pressure
- Ability to multi-task and prioritise
- Good communication skills
- Personal flexibility – this post requires attending onsite exhibitions at various venues mainly in the UK and some overseas
