Operations Executive - OpenRooms
WHO WE ARE:
OpenRoom has been established for over 20 years and has recently sold a majority shareholding to CloserStill Media, an international exhibitions company. Our offices are in West London and the roles are office based with international travel.
We have exciting growth plans over the next two to three years and are looking for ambitious and motivated people to join our award-winning teams. OpenRoom Events is a b2b event organiser specialising in the format of 1-2-1 meetings and networking in the retail, veterinary, dental and pharmacy markets worldwide.
ABOUT THE ROLE
We’re seeking a recent graduate or someone with 1+ years of work experience to join our team as an Operations Executive. Ideal candidates will bring strong people skills, high levels of organization, and a proactive, self-motivated approach to their work. This role demands attention to detail, creativity, flexibility, and a collaborative, can-do mindset.Executive, your strengths should include:
Strong interpersonal and communication skills (both written and verbal)

THE ROLE:
Venue Management: Shortlist and select venues, negotiating rates and terms to fit within budget.
Event Coordination: Act as the point of contact for venue communication before, during, and after events.
Supplier Relations: Manage external vendors, including AV, entertainment, and catering providers.
Sponsor Branding: Oversee the delivery of sponsor branding, ensuring visibility across signage, conference slides, and menus.
Logistics Coordination: Organize speaker and staff travel arrangements for events.
Onsite Team Support: Create and manage schedules for the onsite team and lead pre-event briefings.
Budget Oversight: Assist in managing the cost of the sales budget.
Payment Processing: Coordinate with the finance team to process supplier payments and collect onsite staff expenses.
App & Website Development: Contribute to the development of the OpenRoom App and, with the Marketing Manager, support website updates.
